Built for one-person practices

Proper invoices, and the profit behind them.

Write an invoice in a live preview, send your client a clean link to it, and keep expenses in the same book. Your year-end profit figure is then the real one.

An email and a password. No card, and no payment processor to connect.

Invoices that look like your practice

Write in a split-screen editor with a live preview of the real document. Your logo, terms and tax come along, and the numbering never drifts.

A link to send, not an attachment

Sending gives an invoice its own web page: the amount due, the line items and your payment details, with the PDF a click away. You send the link yourself.

Expenses in the same book

Log expenses by category, keep the receipt with them, and rebill what is billable. Profit is income minus expenses, per currency, on a cash basis.

From draft to paid in three steps.

  1. 1

    Write it

Pick the client and their details fill in. Add line items and the document changes beside the form as you type. Download a draft PDF to check it; it carries a DRAFT watermark until you send.

  2. 2

    Send it

Sending gives the invoice its number and a web page of its own. Copy the link into your email or chat. Workbill does not email anyone for you.

  3. 3

    Record the money

When the client pays, record the amount, date and method. Part payments are fine. The invoice shows paid, partly paid or overdue by itself, so there is nothing to mark.

An invoice you sent stays the invoice you sent.

Once a client holds an invoice, Workbill treats it as their document. Changing your settings later changes the next invoice, not the last one.

  • Numbers are given at send, in order, with no gaps. A draft you throw away never uses one up.

  • A sent invoice is never edited. To fix one you void it and send a replacement, and the void keeps its number.

  • Download it again in three years and you get the PDF the client got, even if your address or logo has changed since.

  • The link opens a plain page with the amount, the line items, your payment details and the PDF. Your client needs no login.

The books, in the same app as the invoices.

Payments you record and expenses you log feed one profit figure. At the end of the year there is nothing to copy across.

Profit on a cash basis

Income is money that arrived, dated the day it landed. An unpaid invoice is outstanding, not income, so the profit figure is money you actually have.

Receipts kept with the expense

Photograph the slip and it stays with the expense. Bill an expense on to a client and it becomes a line item, linked so it cannot be billed twice.

Two CSVs for your accountant

Reports export income and expenses as two CSV files for any dates you pick. Every figure stays in its own currency; euros are never added to dollars.

What it does not do.

Better to know now than after your first month.

  • It does not take payments. Your client pays you the way they already do, by bank transfer or whatever you list, and you record it.

  • It does not email invoices or chase late ones. You send the link, and the dashboard shows which invoices are overdue.

  • It is for one person billing their own clients. There are no team seats and no payroll.

Questions people ask first.

Built for freelancers who bill their own clients.

What does it cost to start?

An email address and a password. There is no card to enter and no payment processor to connect.

Can I bill clients in different currencies?

Yes. Each invoice and expense has its own currency, and the dashboard and reports show one total per currency rather than converting them into one number.

Can the invoices carry my logo?

Upload it once in Settings. Each invoice has a switch to show or hide it, and you choose a template per invoice, with a default for new ones.

Does my client need an account?

No. The link opens for anyone who has it. You can replace the link if it went to the wrong person, and the old one stops working.

What happens to my data if I leave?

Export your CSVs first. Deleting your account locks it straight away and destroys the data about 30 days later. Change your mind inside that window and everything comes back.
